Your Treasurer Needs Help
« on: July 14, 2025, 07:04:30 AM »
I find myself doing a lot more manual tasks than I would like.  I'm hoping that someone(s) here can be willing to help.

What I'm looking for is one or more of the following:
a) An assistant who would be willing to take on some of the spreadsheet manipulations that I need to do (such as figuring out ticket sales or helping with monthly reporting)
b) Someone who does accounting for a living and can help me/us move to more automation or "the next level" (whatever that is).  I would show this person what I do, and would expect them to come back after a period of time with a proposal for a better way of working.

As a volunteer treasurer, I do this job mainly in the evenings.  However, I want to be able to have some fun too.  Treasurer work is taking up more and more of my spare time, and thus I need to get help or change how I do things.

Replies can be here, or send me a message through the forum.

One obvious thing would be for me to type the passenger counts directly into the relevant spreadsheet, if possible, rather than email them to you. Or if I could have some kind of template that could be filled out and directly copy-pasted rather than manually typed by you after being manually typed by me.

Ben, I have (hopefully) giving you access to the spreadsheet I use to track daily ridership.

I've been looking into working with a company that essentially lets you hire a bookkeeper assistant.  However, that costs money!  A volunteer assistant would be great.

Here's an example.  Our ticket sales are through Zeffy.  I can download a report from Zeffy (which I do) after the day's trains are over.  However, between cancelations and transfers between days I have to spend time manipulating the spreadsheet to get the right numbers.  Someone to take that over for me would give me back an hour or so every week that we run trains.
