Logging hours volunteered
« on: June 27, 2010, 10:01:35 PM »
Does the Museum have a method of logging hours worked by visitors and regulars that volunteer their time? I just started to volunteer with the Oahu Land and RailRoad Company building up my exposure to working with rr equipment (I know now how airbrakes work, helped fix a set that is about 60+ yrs old).

Volunteers jot down their starting time and finishing time in a book, and from that record the hours worked by each one are kept track of, I believe usually by James Patten.

Steve is correct, I am the one that tracks the hours.  Three or four times a year I take the logbook home for a couple of weeks and spend some evenings entering the hours logged in a database.  Unfortunately at this time I don't have a good way of extracting information from the database.  I had others do the hours compilations for me for last year, just need to buckle down and figure out a way to get it done myself.

James,

Send me an email at kf5632@gmail.com and I'll send you an Excel Spreadsheet for tracking hours.  Its a 56kb file.  If you don't have MS Office, there is a near free compatible office program on the internet.

There will be two versions. One is Monthly and the other in Quarterly.  It provides individual totals, monthly or quarterly totals and a running total of all hours.  It includes about 132 names and can be edited to suit your needs.  Simply insert new row or delete unwanted row.

Its a piece of cake to use!

Actually I use OpenOffice, which is the nearly compatible free version you speak of.  The database isn't quite like Access, however, the reporting is broken and has been broken for a few versions.  I used to use Access until I got my new laptop, when I decided to get legal and get off MS Office.  I keep looking on the internet for volunteer management software but nobody has what I want for the price I want (free).

At Boston Lodge works on the Ffestiniog Railway (and the Dinas sub depot on the Welsh Highland) volunteers complete a timesheet and "clock in" - for both rostered footplate duties and for working in the works. This is for legal reasons - for insurance, fire evacuations, working time directives, etc., and by completing the footplate duties proforma you are confirming that you are in a fit state to undertake safety critical duties (not under the influence of alcohol, recreational drugs or certain medications, medically fit and adequately rested).

Your sign on and sign off times are recorded, together with a brief note of the work completed - roster turn or workshop activity, and a running total kept.  In the case of footplate work there is a minimum of 10 days required, and when volunteers work on grant aided projects their labour has an agreed value as part of the partner funding.

The footplate timesheets are collated annually and records updated.
